This article applies to organisations with a 'Hybrid' setup (both On-Premise Appliance and Cloud), as well as On-Premise only and Cloud only setups.
Safeguarding Reports provide an overview of the content students have accessed that may raise concerns and require investigation. For further detail, see what content flags as a breach in these reports.
This article describes how to run Safeguarding Reports in your On-Premise Appliance or Cloud Reports.
Note
Only activity with a Log Level of 3, 4 or 5 are included in Safeguarding Reports. You can see this in the Top Websites Visited chart in Cloud.
On-Premise Application
On-Premise Appliance provides a line-by-line list of safeguarding breaches.
Before you begin
- By default, Safeguarding Reports only analyse the Domain/URL. Set up a Decrypt and Inspect policy for Smoothwall to see and report on the content within the pages.
- Turn off your Ad blocker when accessing the Smoothwall Admin UI so it doesn’t hide details of breaches from you in the report.
Run the report
- Go to Reports > Safeguarding > Full report.
- Select the Safeguarding theme to report against. You can’t select All here, so use Cloud Reports to view all themes in one report.
- Select the User Group to report on.
- In multi-tenant environments, select the Tenant, or select All to include all tenants in your report.
- Select the date range of the report. You can select specific start and end times and dates, or select from Today, Yesterday, Last week, Last month or Previous 7 days to select that date range. The maximum duration is 31 days.
- Select Run report.
Use the report
You’ll see a line-by-line list of breaches, the Severity, and Safeguarding theme.
Select a breach to identify who generated a breach.
To prevent items from showing as a breach in future, you can exclude Domains, URLs and Searches.

Share the report
Select Print to print or download a PDF version of your report.
You can’t schedule the Safeguarding Full report by email like the other reports in Reports > Scheduled. Instead, set up Scheduled Safeguarding Alerts.
Cloud Reports
As well as line-by-line detail, Cloud Reports also provides charts and graphs to easily visualise data. You can get a picture of your school’s safeguarding concerns at a high level - for example, to get a whole school summary for the last seven days.
Before you begin
If your Smoothwall is part of a cluster, turn on Cloud Reporting in a Smoothwall filter cluster.
Run the report
- Sign in to the Cloud Portal and go to Reports > New Filter Report.
- Select the Safeguarding Report tab.
- Enter a Report Name.
- If you are part of a multi-tenant environment, you’ll see a Tenant field:
- If you are an Administrator, select one or more Tenant checkboxes or the All Tenants option.
- If you have Reporting access, the tenant you are linked with will be selected.
Tip
Check the Multi-tenant Report requirements if you can’t see the Tenant field.
- For the User field:
- Leave empty to search for breaches for all users.
- If you use Directories for authentication, select the username from the drop-down.
- If you don’t use Directories, enter the full username.
- Select a start and an end Date and Time.
Note
- You can select a date range of up to 31 days.
- You can select dates from the past 90 days. Only data from when you started using Smoothwall will show in your reports.
- Select Run Report. You’ll be taken back to the Reports page, where you’ll see your report is generating with the status of In Progress.
- You’ll receive an email letting you know when the report is ready. Select View report now.
View the report
- To access the report, you can:
- Refresh your page if you are waiting for it to move from In Progress to Ready.
- Select the View report now button in the email.
- Sign in to the Cloud Portal and select Reports.
- Select between the Filter Reports or Multi Tenant Filter Reports tab if you have access to Multi Tenant reports.
- If you selected the Filter Reports tab and have a multi-tenant environment, select the Tenant the report was generated for at the top right of the page.
- Select the report to view the Report Overview and Report Data tabs, export and share the data or find out why you might not be able to view a report.
Use the report
Report Overview tab
High-level summary graphs and charts of:
- Safeguarding Alerts: The number of breaches with each Safeguarding theme, including the Severity.
- Top Websites Visited: The top 10 websites in these categories visited, including the Level.
- Search Terms: Words or phrases users have searched for, including the Level, frequency and whether access was allowed or blocked.
Tip
Select a bar in the Safeguarding Alerts or Top Websites Visited charts to see filtered Report Data.

Report Data tab
The Report Data tab gives you line-by-line full browsing activity.
- Use the magnifying glass to search within a column. Searching for a Top Level Domain will show results from subdomains, but entering a subdomain won’t show results for the Top Level Domain.
- You can see the timestamp for each access request. The most recent Events are shown at the top.
You can choose which columns are included using the Column Selector button:
- By default, each line includes the Username, Tenant (for Multi Tenant reports) Url, Categories, Severity, Theme, Action (whether access was blocked or allowed) and the Timestamp.
- Select the checkboxes to add or remove additional columns for Locations, Timeslots, Search Terms, Client IP or Client Hostname.
- You can’t remove the Username, Url or Action columns.
