You can use Safeguarding Alerts to send emails (from On-Premise Appliance and Filter) or SMS (from On-Premise Appliance only) to your chosen contacts when users access inappropriate content.
- Safeguarding Alerts from On-Premise Appliance and Cloud Filter can both be sent, depending on your setup.
- If you have both On-Premise Appliance and Cloud Filter, you can select to restrict management of your setup for Instant Safeguarding Alerts to Cloud Filter.
Cloud Filter
By default, Safeguarding Alerts with the Safeguarding Theme of Suicide are sent instantly to your Default Cloud Filtering Administrator.
Safeguarding Alerts with any other Safeguarding Theme are not sent by default. Follow the instructions below to set up Safeguarding Alerts.
Before you begin
Step 1: Check your licensing
You must have a Cloud Reports licence to see and use the Daily Email and Weekly Email toggles. Contact Smoothwall Support or your Customer Success Manager to discuss your requirements.
Step 2: Set up User Groups
Use a Directory to map end users into User Groups in Smoothwall. You can then send Safeguarding Alerts about their activity.
Check your existing User Groups or add new groups as required: User Groups
Set up Safeguarding Alerts
- Go to Filter > Safeguarding.
- If you have a multi-tenant setup, select the tenant or select All Tenants to send Safeguarding Alerts to these contacts for all tenants.
- Select Add new group.
- Select the User Group from the dropdown, or select Everyone to allow the recipient to receive Safeguarding Alerts about any users.
- Select the Contacts field to enter an email address.
- If you selected a specific tenant, or don’t have a multi-tenant setup, you can:
- Select to send these contacts Instant Safeguarding Alerts by turning the Instant Alerts toggle On.
- Select to send these contacts Scheduled Safeguarding Alerts by turning the Daily Email and/or the Weekly Email toggle On.
Tip
Turn off Scheduled Safeguarding Alerts in On-Premise Appliance to stop your staff from being emailed twice.
Edit or delete the setup
You can’t turn off all Safeguarding Alerts because instant Safeguarding Alerts for Suicide are sent to your Default Cloud Filtering Administrator. However, you can add an email address for an unmonitored inbox in the Contacts field.
To edit or delete the contacts set up:

Type next to the magnifying glass icon to filter contact groups.
- Select the X to remove an email address from a group.
- Select Delete Group to remove a group.
- Turn off the Instant Alert, Daily Email, and/or Weekly Email toggles to stop sending Safeguarding Alerts.
On-Premise Appliance
Before you begin
Step 1: Set up an SMTP server or relay
You must set up a Simple Mail Transfer Protocol (SMTP) server or relay to send Safeguarding Alerts from the On-Premise Appliance.
- Set up a SMTP server or relay in Reports > Settings > Output Settings.
- Alternatively, select the link in the banner on the Reports > Safeguarding > Notifications page.
If this module isn’t installed, you’ll see a ‘404: Not Found’ error, and must install the Monitor module.
Step 2: Set up User Groups
Use a Directory to map end users into User Groups in Smoothwall. You can then send Safeguarding Alerts about their activity.
Check your existing User Groups or add new groups as required: User Groups
Step 3: Set up Distribution Groups
Add users and their email addresses to Distribution Groups. These recipients can then receive Safeguarding Alerts.

Step 4: Check HTTPS inspection
You must use HTTPS inspection so that Smoothwall can analyse websites' full URLs, headers and content, and generate Safeguarding Alerts.
Ensure you have HTTPS Inspection Policies to Decrypt and Inspect Everything except trusted sites.
Set up Safeguarding Alerts
No Safeguarding Alerts are sent from the On-Premise Appliance by default.
After setting up your SMTP server or relay and groups, turn on Safeguarding Alerts.
Tip
You can set up multiple Scheduled Safeguarding Alerts. For example, All on a Daily schedule and Bullying on a Weekly schedule, meaning two alerts will be sent out on the first day of the week.
- Go to Reports > Safeguarding > Notifications.
- Select New notification to configure the following fields:

User/Groups: Select the User Group (from Step 2 - Set up User Groups) or the username of an individual user to send notifications about.
Warning
Don’t select a group and then edit its name here.
- Tenant: In multi-tenant environments, select the tenant this policy applies to.
- Send Notification: Select when the Scheduled Safeguarding Alerts should be sent.
- Also send instant alert: Select whether to send Instant Safeguarding Alerts by email, SMS or both.
- Select Safeguarding ruleset: Select the Safeguarding Theme to send the Safeguarding Alerts about: Safeguarding Themes
- Send notification / alert to email group: Select the Distribution Group set up in Step 3 - Set up a Distribution Group.
- Select Save changes.
Edit or delete the setup
- Go to Reports > Safeguarding > Notifications
- Hover over the notification.
- To remove, select Delete.
- To modify, select Edit, make changes and then select Save changes.
Add Exclusions to stop Safeguarding Alerts
To prevent specific content from generating Safeguarding Alerts, add Exclusions using the Full Report.
