This article applies to organisations with a Cloud setup, and those with a 'Hybrid' setup (both On-Premise Appliance and Cloud).
In the UK, schools must comply with Filtering and monitoring standards for schools and colleges and Keeping Children Safe In Education (KCSIE) policies. These include monitoring the types of content students are accessing.
Both Smoothwall On-Premise Appliance Reports and Logs and Cloud Reports give line-by-line details of web activity. Smoothwall Cloud provides additional charts and graphs to easily visualise the data.
Before you begin
- Check your organisation has been given access to the Cloud Portal, including Cloud Reports. If you aren’t sure or want to upgrade, contact your Customer Success Manager.
- Set up directories and ensure they exist in the Cloud to select specific users on whom to run reports. Otherwise, you will need to manually enter the full username.
- Give individual staff access to Cloud Reports. You can give them Administrator access or only access to generate reports.
If you have a Hybrid setup (both On-Premise Appliance and Cloud):
- Update your On-Premise Appliance to Leeds-70 or higher for optimum performance.
- If you have a parent and child setup, enable Cloud Reporting for your Child Smoothwall Appliances.
Can we run reports on multiple tenants?
Whether you can create reports that include data from multiple tenants depends on your update level, your access, and the report type.
- To select tenants to report on, ensure you have set up the tenants. If you can’t manage your tenants, contact your Customer Success Manager.
- If you have a Hybrid setup, you must be on Leeds-70 or higher to create multi-tenant reports. Update your On-Premise Appliance.
Important
You won’t be able to report on data generated when you were on an update lower than Leeds-70.

Give the right people access:
- Give Administrator access to a user so they can see the Multi Tenant Reports tab on the Reports page and create reports for any tenant.
- Give Reporting access to a user so they can create reports for the Tenant they are linked with.
- You can create Domain, Category and Safeguarding reports for multiple tenants. However, you must select a single tenant when creating a Custom, User or Device report.
If you have Administrator access but can’t see the option to create multi-tenant reports, contact your Customer Success Manager.
What reports are available?
When you create a report, you’ll see full line-by-line browsing activity and different high-level summary graphs and charts for each report type:
- User Report: Investigate an individual user or student’s past browsing history in full.
- Device Report: Investigate past browsing history on a specific device, or identify who was using it at a specific time based on their username.
- Domain Report: See whether users are accessing or trying to access specific websites to help determine whether new Web Filter Policies are needed to block access.
- Category Report: Investigate web access requests for specific types of content. It’ll show you the most popular types of websites and the top websites in these categories visited. You can use this information to help inform curriculum planning and policies, such as around the usage of AI tools.
- Safeguarding Report: An overview of the content students are accessing that may raise concerns and require further investigation.
You can also run a Custom Report to combine filters for User, Device, Domain or Category.
