This article applies to organisations with a 'Hybrid' setup (both On-Premise Appliance and Cloud), as well as On-Premise only and Cloud only setups.
You can use Safeguarding Alerts to send emails (from On-Premise Appliance and Cloud Filter) or SMS (from On-Premise Appliance only) to the Administrators you choose when users are accessing content they shouldn’t. For example, you may want to notify your Designated Safeguarding Lead (DSL) when users are accessing websites about Bullying.
- Safeguarding Alerts from On-Premise Appliance and Cloud Filter can both be sent depending on your setup.
- If you have both On-Premise Appliance and Cloud Filter, you have the option to manage your setup for Instant Safeguarding Alerts via Cloud Filter only.
On-Premise Appliance
Before you begin
Step 1: Set up an SMTP server or relay
A Simple Mail Transfer Protocol (SMTP) server or relay is required to send Safeguarding Alerts from the On-Premise Appliance. You can set up a SMTP server or relay in Reports > Settings > Output Settings.
Step 2: Set up User Groups
You use a Directory to map end users into User Groups in Smoothwall. You can then send Safeguarding Alerts about their activity.
Check your existing User Groups or add new groups as required: User Groups
Step 3: Set up Distribution Groups
When setting up Distribution Groups, you add users and their email address. These recipients can then receive Safeguarding Alerts.

Set up Safeguarding Alerts
No Safeguarding Alerts are sent from the On-Premise Appliance by default.
Once you have your SMTP server or relay and your groups set up, you can switch on the Safeguarding Alerts.
Tip
You can set up multiple Scheduled Alerts, for example All on a Daily schedule, Bullying on a Monthly schedule, meaning 2 alerts will be sent out on the first day of the month.
- Go to Reports > Safeguarding > Notifications.
- Select New notification to configure the following fields:

User/Groups: Select the User Group (as set up in Step 2 - Set up User Groups) or username of an individual user to send notifications about.
Warning
Do not select a group and edit the group name here.
- Tenant: In multi-tenant environments, choose the tenant this policy should apply to.
- Send Notification: Select when the Scheduled alerts should be sent.
- Also send instant alert: Select whether to send Instant alerts, and if so whether by email, SMS or both.
- Select Safeguarding ruleset: Select the theme to send the Safeguarding Alerts about: Safeguarding themes
- Send notification / alert to email group: Select the Distribution Group of users to send the Safeguarding Alerts to, as set up in Step 3 - Set up a Distribution Group.

User/Groups: Select the User Group (as set up in Step 2 - Set up User Groups) or username of an individual user to send notifications about.
- Select Save changes.
Edit or delete On-Premise Appliance Safeguarding Alerts setup
Go to Reports > Safeguarding > Notifications and hover over the notification.
- To delete, select Delete.
- To edit, select Edit, amend any of the fields in the pop-up and select Save changes.
Add Exclusions to stop Safeguarding Alerts
If you have any content you would like to not contribute to the generation of Safeguarding Alerts, you can add Exclusions using the Full Report.

Customise Cloud Filter Safeguarding Alerts
By default, Safeguarding Alerts with the Safeguarding theme of Suicide are sent instantly.
Safeguarding Alerts with any other Safeguarding theme are not sent by default. Follow the instructions below to set up Safeguarding Alerts.
Step 1: Set up User Groups
You use a Directory to map end users into User Groups in Smoothwall. You can then send Safeguarding Alerts about their activity.

Step 2: Set up Safeguarding Alerts
- Go to Filter > Safeguarding.
- In multi-tenant environments, select the tenant, or select All to send Safeguarding Alerts for all tenants to these contacts.
- Select Add new group. Select the User Group from the drop-down, or select Everyone to allow the recipient to receive Safeguarding Alerts about any users.
- Select the Contacts field to type in an email address to send Safeguarding Alerts to.
Edit or delete Cloud Filter Safeguarding Alerts setup
It is not possible to disable all Safeguarding Alerts sent. However, you can add an email address for an unmonitored inbox to the Contacts field.
You can also edit or delete the contacts set up:
- To remove an email address from the group, select the X.
- To remove a group, select Delete.

Type next to the magnifying glass icon to filter the list of contact groups.
