This article applies to organisations with a 'Hybrid' setup (both On-Premise Appliance and Cloud), as well as On-Premise only and Cloud only setups.
There are different scheduling options available for Safeguarding Alerts, depending on whether you are using On-Premise Appliance or Cloud Filter. These are outlined below.
On-Premise Appliance
You have two scheduling options: Instant and Scheduled Safeguarding Alerts. Organisations often set up different scheduling strategies for different themes. For example, you might alert for:
- Substance abuse Weekly to gauge if there is persistent behaviour that needs attention.
- Bullying with an Instant Alert as it requires immediate attention.
Send Notification (Scheduled Alert)
This sets the frequency the Smoothwall sends a summary report by email:
- Daily: Every day. The report shows activity from the last 24 hours.
- Weekly: On Monday mornings. The report shows activity from the last week.
- Monthly: On the 1st of the month. The report shows activity from the last month.
- Off: A report is not sent.
Important
Reports begin generating and sending at 4am, but may be received in inboxes later. It is not possible to change the time of day this is sent, or to set up custom scheduling.
Send instant alert
This sends an alert within one minute by email or SMS when the Safeguarding Severity is Danger.
The On-Premise Appliance then waits 10 minutes before sending another alert for the same user and Safeguarding theme. Safeguarding alerts for different Safeguarding themes with Danger Severity are sent instantly.
Cloud Filter
When setting up Safeguarding Alerts within Cloud Filter, the Safeguarding theme determines what is sent.
Suicide
By default, Safeguarding Alerts for all Safeguarding Severities with the theme of Suicide are sent instantly.
Safeguarding Alerts about Suicide continue to be sent, whether an alert was already sent or not.
Other themes
Safeguarding Alerts for all other themes are not sent by default. You can’t specify to send for only certain themes - once you set up Safeguarding Alerts, they are sent for all themes.
Once set up, Smoothwall tracks the content the user has accessed for all Severities for 10 minutes. Smoothwall then waits for the next 15 minute interval to send the summary of this information via email. Because of this, the alert can take up to 30 minutes to be sent.
Large sets of data are split into multiple emails, with no limit to the number of emails sent.
Once an alert is sent, Smoothwall will wait 24 hours before sending another for the same user, unless the Safeguarding theme is Suicide.
On-Premise Appliance via Cloud Filter
If you have both On-Premise Appliance and Cloud Filter, you can choose whether to continue to use On-Premise Appliance and Cloud Filter separately, or to manage your setup for Instant Safeguarding Alerts via Cloud Filter only.
In this scenario, Instant Safeguarding Alerts from the On-Premise Appliance are not sent. The guidance for Send Notification (Scheduled Alert) and Cloud Filter above will apply.
