Both Cloud Filter and On-Premise Appliance can send Instant and Scheduled Safeguarding Alerts. This article explains the differences between the two platforms regarding when they are sent.

If you have both On-Premise Appliance and Cloud Filter, you can choose to manage your setup for Instant Safeguarding Alerts via Cloud Filter.
Instant Safeguarding Alerts
Cloud Filter
The Safeguarding Theme determines what is sent from Cloud Filter.
Before you set up Safeguarding Alerts
Cloud Filter immediately sends Safeguarding Alerts for every event with the Safeguarding Theme of Suicide.
After you set up Safeguarding Alerts
Safeguarding Alerts are sent for all Safeguarding Themes.
Cloud Filter immediately sends Safeguarding Alerts for every event with the Safeguarding Theme of Suicide.
For Safeguarding Themes other than Suicide, Cloud Filter:
- Tracks the content the user has accessed for 10 minutes.
- Waits for the next 15-minute interval to send the summary of this information, so the email may take up to 30 minutes to be sent. Large datasets are split into multiple emails, with no limit on the number of emails sent.
- Waits 24 hours before sending another for the same user.
On-Premise Appliance
When Also send instant alert is selected, On-Premise Appliance sends an email or SMS within one minute when the Safeguarding Severity is Danger.
It waits 10 minutes before sending another email or SMS for the same user and Safeguarding Theme. Safeguarding Alerts for all Safeguarding Themes with ‘Danger’ Severity are sent instantly.
Scheduled Safeguarding Alerts
Important
- Scheduled Safeguarding Alerts begin generating and sending at 4:00 AM for On-Premise Appliance and 7:00 AM for Cloud Filter, but may be received in inboxes later. You can’t change the time of day this is sent, or set up custom scheduling.
- When there is no user activity (such as during holidays), no logs are generated. When there are no logs:
- Cloud Filter does not send Scheduled Safeguarding Alerts.
- On-Premise Appliance will send Scheduled Safeguarding Alerts, but they will not contain any data.
Cloud Filter
These toggles set the frequency Cloud Filter sends a summary by email:
- Daily Report: Every day, showing activity from the last 24 hours.
- Weekly Report: On Monday mornings, showing activity from the previous week Monday to Sunday.
Cloud Filter sends one email to each contact for each Tenant.
Important
You can only see these toggles and use Scheduled Safeguarding Alerts if you have a licence for Cloud Reports. Contact Smoothwall Support or your Customer Success Manager to discuss your requirements.
On-Premise Appliance
The Send Notification drop-down sets how often the On-Premise Appliance sends a summary by email:
- Daily: Every day, showing activity from the last 24 hours.
- Weekly: On Monday mornings, showing activity from last week, Sunday to Sunday.
- Monthly: On the 1st of the month, showing activity from the previous month.
- Off: No email is sent.
Organisations often set up different scheduling strategies for different Safeguarding Themes. For example, you might set up:
- Weekly Scheduled Safeguarding Alerts for Substance abuse to gauge if there is persistent behaviour that needs attention.
- Instant Safeguarding Alerts for Bullying, as it requires immediate attention.
On-Premise Appliance sends:
- One email containing all Safeguarding Alerts for the last day, week, or month to contacts for all tenants.
- One email for each tenant, containing only the Safeguarding Alerts relevant to that tenant to contacts for a specific tenant.
